Sync evo is a B2B procurement platform operated by First Technology Western Cape (Pty) Ltd, registered in South Africa. References to "we", "us", or "our" in this policy refer to First Technology Western Cape.

2. Information We Collect

We collect information you provide directly when you register for an account, place orders, contact us, or subscribe to our newsletter. This includes:

• Name, email address, and company details
• Account credentials (passwords are stored in hashed form and never in plain text)
• Order and quote history generated through the platform
• Contact form submissions and newsletter subscriptions

3. How We Use Your Information

We use the information we collect to:

• Operate and improve the Sync platform
• Process quotes and orders on your behalf
• Communicate with you about your account and orders
• Send product and feature updates (newsletter subscribers only)
• Respond to support and contact form enquiries

4. Data Sharing

We do not sell, rent, or share your personal information with third parties for marketing purposes. Your data may be shared with your assigned First Technology account manager to facilitate orders and support. We may disclose information if required by law.

5. Data Security

All data is transmitted over HTTPS. Passwords are hashed using industry-standard algorithms. We support two-factor authentication (2FA) for additional account security and encourage all users to enable it.

6. Data Retention

We retain your account data for as long as your account is active. Quote and order history is retained for business record-keeping purposes. You may request deletion of your account by contacting us directly.

7. AI Assistant

SyncEvo includes an AI-powered sales assistant to help you find products, check stock, generate quotes, and place orders. By using the AI assistant, you acknowledge and agree to the following:

• The assistant has access to your account profile, pricing, quote history, and order history to personalise responses and take actions on your behalf.
• Actions taken through the assistant — such as generating a quote or placing an order — carry the same weight as actions taken manually on the platform.
• The AI assistant is designed to assist with procurement tasks only. It cannot modify account settings, delete records, or manage team members.
• AI-generated responses may occasionally be inaccurate. You are solely responsible for reviewing all information — including product details, quantities, and pricing — before confirming any quote or order. Any errors resulting from unreviewed AI output are the responsibility of the account holder.
• We do not use your conversation data to train AI models.

8. Your Rights (POPIA)

In accordance with the Protection of Personal Information Act (POPIA), you have the right to access, correct, or request deletion of your personal information. To exercise these rights, contact us at mohammedk@firsttechnology.co.za.
